Receptionist/Administrator (part time/permanent) – 2 posts

 

Hours of Work:          40 hours per week (0.5 Full Time Equivalent)

Salary:                        £20,800 pa (pro-rata)

Leave:                         25 days plus Bank and Public Holidays (pro rata) increasing with length of service

Location:                    HQ, Loughgall, County Armagh

 

The Organisation

We are hiring!   The Royal Black Institution are a successful worldwide fraternal organisation.  We will be shortly moving to a new purpose-built headquarters in the village of Loughgall, Co Armagh and are seeking to recruit two Receptionist/ Administrators to join our team.

 

The Role

The Receptionist/ Administrators will provide reception and administrative support to visitors and the wider team. It is anticipated that these roles may be suitable for a job share possibly worked as either half day shifts (9:00am to 1:00pm OR 1:00pm to 5:00pm) or on a fortnightly basis (Week 1: 2-day shift and Week 2: 3 day shift).   The working pattern will be agreed with the successful candidates and a degree of flexibility will be required.

 

The successful candidates will be required to undertake a broad range of duties, as follows:

  • Answer telephone and email enquires
  • Maintaining appointment / meeting room bookings / Meeting and greeting visitors
  • Provide general administrative duties including ordering stationery, letter writing; managing incoming and outgoing mail;
  • Data input and ancillary reports;
  • Handling/Recording/Input of Payments, Sales & Bank Receipts;
  • Petty cash management;
  • Bank reconciliation;
  • Online banking
  • Any other duties commensurate with the role

 

Personal Specification

 

Essential Criteria:

  • At least one years’ previous experience in a Receptionist/Administrative role
  • Have excellent communication skills, both written and verbal
  • Strong computer literacy including Microsoft Office
  • Experience of financial administration/software (e.g. Sage Accounts)
  • A team player
  • Highly motivated with excellent inter-personal skills and strong attention to detail

 

Desirable criteria 

  • Ability to act as a host/guide and deliver information to visitors from supplied notes 
  • Understanding the maintenance of historical records 
  • Interest in sustaining a library of books etc
